The Research Services Office (RSO) under the VP Research invites applications for a Post-Award Officer. This Full-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.
As a member of the Grants and Awards Division in RSO, this position reports dually to the Manager, External Grants, and the Manager, Postdoctoral Office & Internal Grants. The Post-Award Officer is responsible for administering research funding awards, ensuring completeness and policy compliance for new awards, prior to submission to Finance, which is responsible for financial administration. This work is performed in collaboration with team members who are responsible for pre-award, as well as other RSO teams or University offices such as Ethics & Compliance, Research Security, and various legal teams. The incumbentwill assist faculty members, postdoctoral researchers, and students with award acceptance, facilitating creation of project accounts, amending project accounts, and funder compliance, focusing on bridging pre- and post-award activities and liaising with funders on matters of award administration.
Summary of Key Responsibilities (job functions include but are not limited to):
• Principal point of contact in RSO for University of Calgary researchers on a wide-range of post-award issues relating to external research grants, externally sponsored research training awards, and UCalgary research funding, handling general inquiries, and triaging requests as appropriate.
• Processes post award documentation to Finance to set up the financial project account(s) for new investigator-led research grants and awards.
• Liaises with various teams within RSO and in other University offices as required
• Provides on-going maintenance of grant files and handles requests for any amendments to grants and other forms of research funding, especially no-cost extensions.
• Liaises with the external funding agency to confirm policies and regulations on behalf of the researcher and to facilitate requests for amendments to grants and training awards.
• Provides administrative review of new awards to ensure accuracy and to triage to appropriate legal process, facilitating execution of low-risk agreements as appropriate.
• Ensures all research within the University has up-to-date human ethics, animal care, and biosafety certifications or permits, where applicable.
• Responsible for maintenance of internal electronic workspaces, tools, and documentation for post-award activities within the Grants and Awards division of RSO, to facilitate smooth collaboration on post-award.
• Works with the External Grants and Postdoctoral Office & Internal Grants teams to improve processes and procedures related to post-award administration.
• Regularly reports on post-award service standards to the Manager, External Grants and Manager, Postdoctoral Office & Internal Grants.
Qualifications / Requirements:
• A University degree is required, either an undergraduate degree combined with significant work experience in a relevant area, or a graduate degree with additional work experience in an academic or funding agency environment.
• Familiarity with University administration and policies relating to research is required.
• Flexible attitude and ability to adapt to changing workloads and priorities required.
• Ability to provide accurate information professionally, courteously and in a timely manner, respecting appropriate confidentialities, is required.
• Ability to work in a highly collaborative environment, with clear communication and respect for others¿ responsibilities, is required.
• Must be a fast learner, able to work independently with appropriate instruction and minimal supervision.
• Good knowledge of Microsoft applications (SharePoint, Excel, Power Platform, and Outlook) is required.
• Knowledge of the UCalgary Research Management System (RMS) and/or PeopleSoft is an asset.
• Excellent written and verbal communication skills, strong time management, organizational and interpersonal skills are required.
• Sound decision-making capabilities required.
• Demonstrated experience in research administration, preferably at a research intensive university and in post-award activities, would be considered a strong asset.
