Seattle Public Utilities (SPU), Drainage and Wastewater (DWW) Branch is recruiting for an experienced and talented Administrative Staff Analyst. This dynamic role will provide a unique opportunity to serve as the lead administrative staff for two Division Directors and approximately 70 staff, be a vital part of the daily operations, while ensuring seamless coordination and support for our senior leaders.

Administrative Excellence: Assisting in high-level projects, managing schedules, handling confidential information, providing clear written and oral communications, and contributing to the overall success of the Branch.
Process Improvement: Identify inefficiencies in our current processes and develop innovative solutions, practices, SOPs to enhance productivity and streamline operations.
Data Analysis & Reporting: Collect, analyze, and interpret data to provide insightful recommendations that drive decision-making.
Budget Management: Track expenditures and prepare detailed reports to keep us on track.

• Working in partnership with the Sr. Executive Assistant, support and coordinate the Drainage & Wastewater Branch with a wide variety of administrative and personnel duties in support of Branch operations.
• Support the System Management & Program & Policy Management Division Directors with direct administrative assistance including but not limited to, calendaring, meeting coordination, training and travel, project, HR activities, accounting, and deadline tracking.
• Provide administrative support to workgroup managers and varied staff.
• Utilize various computer applications and software packages; develop, enter data, maintain, and generate reports from a database or network system; design, maintain, and utilize data to develop reports using spreadsheet software; create, format, and revise worksheets and forms; create requisitions for vendor payments; verify data for accuracy and completeness.
• Manage a large volume of various on boarding/exiting, personnel, and HR activities.
• Manage large volume of signature processing of various forms for the branch.
• Act as lead telephone coordinator reviewing and submitting requests for new telephone equipment, physical equipment moves, and equipment reassignments to IT Telephone Services for implementation.
• Handle highly sensitive, confidential correspondence, draft correspondence of sensitive nature.
• Represent or act on behalf of branch leadership as directed. Serves as back-up staff for Senior Executive Assistant as needed.
• Facility (SMT) management, including coordinating and tracking IT assets, cubical/floor planning, conference room updates, and access cards.
