Overview

Position Summary: Children's Hospital of Los Angeles is seeking a highly skilled and motivated Executive Assistant to join our dynamic Human Resources team. The executive assistant provides the highest level of executive support and serves as the primary contact for CHLA senior executives (i.e., VPs and SVPs). The executive assistant understands their assigned executive's line of business, key clients and team. Represents and supports the executive in client and non-client activities, often acting as a liaison between the executive and their organization or clients. The executive assistant completes high quality work to meet established goals, independently, with a large degree of autonomy and limited supervision. As an Executive Assistant, you will play a crucial role in organizing and coordinating office administration and procedures to ensure organizational effectiveness, efficiency, and quality. You will be responsible for maintaining intra-office communication protocols, streamlining administrative procedures, inventory control, contract administration and project coordination.

Key Responsibilities:
• Act as interface between client and executive’s team(s) making decisions on behalf of assigned executive, understanding the potential impact of the actions taken.
• Develop relationships with assigned executive’s clients, other top executives within the company, and their executive assistants.
• Manage complex calendar for a busy executive and assist with day-to-day administrative support to the department including project coordination, supply management, and special projects.
• Ability to handle and maintain confidentially with information and data.
• Oversee contract submissions and interactions with vendors to secure paperwork as part of the contracting, procurement, and billing process.
• Help plan and organize and execute events including in-house or off-site activities, team-building events, celebrations, and conferences.
• Coordinate catering for meetings and events, including receiving requests, verifying approval, and ensuring all parties agree on setup and execution.
• Contribute to team efforts by accomplishing related results as needed.
• Perform other duties as assigned.

Minimum Qualifications: 5+years of progressively responsible secretarial and administrative experience or a combination of related education, secretarial and business experience.
• Previous support of C-Suite/ Senior level executives required.
• Advanced knowledge with demonstrated proficiency in MS Office programs is required.
• Expert calendaring required. Must know how to support executive level
• Excellent organizational and communication skills.
• Ability to keep tabs on multiple activities at the same time.
• Good Microsoft Office skills (Word, Excel, PowerPoint) and familiarity with SharePoint.
• Ability to handle day-to-day routines and unexpected situations with flexibility.
• Strong support skills for senior leadership.
• Willingness to learn.

Education/Licensure/Certifications: High school graduate. Bachelor's degree required, or combination of education and equivalent relevant experience.

Pay Scale Information

$58,240.00-$100,464.00

Final determination of a successful candidate’s starting pay will vary based on a number of factors, including, but not limited to education and experience within the job or the industry. The pay scale listed for this position is generally for candidates that meet the specified qualifications and requirements listed on this specific job description. Additional pay may be determined for those candidates that exceed these specified qualifications and requirements.
