Research and Admin Services Team in the Faculty of Science is currently seeking a Full-time Regular Manager.

The Manager, Administrative Services reports to the Director of Operations with strong accountability to the other members of the Faculty of Science Leadership Team. The role is designed to ensure seamless operations, efficient administrative processes, and strategic alignment across Administrative units. This position includes complex and varied accountabilities, leadership, and decision-making requirements within a demanding environment. The position requires the incumbent to act decisively, to exercise a high degree of initiative and judgment, build productive and supportive working relationships and the ability to manage multiple programs simultaneously.

This regular, full-time position is a part of the Management and Professional Staff (MAPS) employee group. The standard work week for MaPS is 35 hours; however, actual work schedules may vary according to business needs and service requirements.

Summary of Key Responsibilities (job functions include but are not limited to):

Strategic Leadership
• Contribute to the implementation of the Faculty of Science strategic goals through ensuring professional, effective operations with a high level of quality assurance in the two units related to the portfolio.
• Lead and manage change initiatives ensuring supports are in place for the teams to adapt smoothly to new processes.
• Build and maintain relationships with key stakeholders, both internal (students, academic and administrative staff, University unit staff) and external (community partners, vendors, etc.).
• Develop and monitor key performance indicators (KPIs) to identify progress toward strategic goals and make informed strategic decisions.
• Provide input to the annual budgeting process and give appropriate consideration to budget when making operational decisions.
• Continue own personal development, learning and training.

Human Resources
• Provide leadership and guidance to team members to achieve their best performance and maintain high levels of service and engagement.
• Perform all human resource processes for 13 direct reports, such as recruitment, onboarding, training, cross-training, HR administration, career progression, performance, termination, and offboarding processes.
• Lead collaborative, cohesive teams through excellent role modeling and coaching, ensuring a breadth of skill and development of the teams.
• Ensure staff workload is balanced effectively among team members.
• Address and resolve any issues within the team in a fair and timely manner to maintain a positive work environment.
• Facilitate clear and open communication within the team, ensuring that information is shared effectively, and staff concerns and suggestions are heard and addressed.

Administration
• Responsible for decision-making and recommendations regarding operations within the portfolio.
• Oversee daily operations of teams ensuring administrative practices are in accordance with university processes, policies, and procedures and in alignment with service models within the Faculty.
• Identify areas for process improvement and implement best practices and innovative solutions to ensure effective high-quality services are in place to support evolving faculty needs.
• Facilitate communication between departments or teams.
• Ensure adherence to University and Faculty of Science policies, processes, and standards.
• Identify potential risks or challenges and develop strategies to mitigate them.
• Prepare and present reports on program progress, performance, and outcomes.
• Assessing procurement needs of the portfolio., ensuring cost-effectiveness, compliance with procurement policies, and timely delivery.
• Create and manage budgets for administrative functions, ensuring alignment with Faculty goals.
• Manage annual and long-range financial and budget planning for operating accounts.
