The Events & Operations Coordinator plays a crucial role in ensuring the smooth functioning of the day-to-day operations of a trade association. This position is responsible for supporting events, membership services, committee activities, and general operations. The ideal tech-savvy candidate will be digitally skilled, organized, detail-oriented, and eager to learn, with the ability to manage multiple tasks in a fast-paced environment and adapt to new technologies as they emerge.
The Events & Operations Coordinator is accountable for the following:
Event Coordination:
Tasked with planning, organizing, and executing trade association events like conferences, seminars, and workshops alongside the Director of Events & Operations. These events are crucial to fostering industry collaboration and knowledge sharing. Duties include assisting with venue selection, managing timelines, overseeing event materials, and ensuring smooth logistics. Facilitating the Medtech Canada Speaker Series Webinars will also be a key responsibility, coordinating guest speakers and technical logistics for successful delivery.
Close collaboration with internal staff, vendors, speakers, and attendees is necessary to ensure seamless event execution. Effective communication and problem-solving skills are essential to handle any challenges. There is also involvement in sponsorship programs, working with sponsors, event registration, and responding to attendee inquiries.
Membership Support:
Support includes handling membership applications, renewals, and database management to foster strong member relationships. Responsibilities also involve assisting with onboarding, ensuring new members are informed about available benefits, and engaging with members to enhance their overall experience.
Managing member inquiries and resolving issues promptly is critical, alongside working with the Manager of Member Services to implement and manage Medtech Canada’s Member Savings Program, boosting member retention and satisfaction.
Committee Support:
Providing administrative support to various committees is key to driving important discussions and initiatives that contribute to the association’s mission. This includes scheduling meetings, preparing agendas, taking minutes, and coordinating projects. Continuous communication with committee members is vital for timely follow-up on tasks and action items.
General Operations Support:
Assisting with daily association operations, supporting the development and implementation of operational policies and procedures to ensure smooth functioning of both in-office and remote operations. Team collaboration is essential to maintain an organized and efficient office environment.
Additional Duties:
Take on special projects and initiatives as assigned, offering opportunities to contribute to the organization's improvement. Providing general administrative support to the operations team as needed and contributing to the continuous enhancement of operational processes ensures the organization remains efficient, responsive, and member focused.
Qualifications:
The ideal candidate should have education and/or experience in Business Administration, Event Management, Membership Management, or a related field. Experience in an operations or administrative role, particularly in a trade association or non-profit, is an asset but not required. Candidates must be comfortable working in a virtual or remote environment.
Strong organizational skills and the ability to manage multiple tasks and priorities are essential. Excellent written and verbal communication skills are required, along with proficiency in AI tools, online platforms, Office 365 applications, and database management.
Attention to detail, a high level of accuracy, and the ability to work independently or collaboratively as part of a team are key. Flexibility in adapting to changing priorities and deadlines is also important.
Work Environment:
This is a primarily virtual/remote role, with occasional travel required for events and meetings. Candidates should be comfortable working independently in a remote setting.
