Reporting to the Program Manager, the Program Management Specialist will provide on-site programmatic, operational, and administrative support services in support of projects/programs, as required on the 3050 - PMW 770 PEO Subs PM Support contract. May handle confidential information. This position is located in Charleston, SC.

What You'll Do
• Perform various programmatic and administrative tasks and products including but not limited to:
• Assist Program Manager (PM) with direct programmatic support requirements; integrate and collaborate with project leads, scheduler, amongst other internal and external personnel on tasks including but not limited to: Routine, urgent, short notice, and ad-hoc: meetings, data calls, conferences, discussions, briefs, training sessions and programs, reviews and coordination amongst USG client, sponsors, and prime contractor.
• Coordinate visits, meetings and conferences including agenda preparation, travel, clearances, and visit requests, videoconferences, minutes, action items, and briefs.
• Noting and tracking action items and meeting minutes.
• Processing visit authorization requests (VAR/DISS) on behalf of clients.
• Development, maintenance, and distribution of agendas, team calendars (travel, leave/PTO, etc), references (i.e. POCs, project Quick Reference Guide (QRG)s, seating chart.
• Managing historical and current project information as site collection administrator (i.e. NIPR & SIPR repository / SharePoint).
• Scheduling reservation requests; assisting with daily personnel correspondence and program needs; sending team reminders, ordering office supplies.
• Providing additional support when client(s) are on leave / travel; serving as back-up POC.
• Collaborate with project/program stakeholders to collect, process, and analyze data.
• Utilize Microsoft Office Suite to include Word, Excel, PowerPoint and Project to support programmatic, operational and administrative requirements.
• Utilize web-based applications such as Share Point, Intelink and/or MS Teams to facilitate collaboration, workflow and document management.
• Collaborate with project/program stakeholders to collect, process, and analyze data.
• Bid and proposal support if requested.
• Other duties as assigned.

What We're Looking For

Required Qualifications:
• An active secret clearance is required to be considered for this position.
• Education:
• Two (2) years of work experience within DoD.
• Demonstrates experience and/or ability to familiarize self with a variety of programmatic requirements to support the project.
• Typically requires ability to prioritize focus and switch between multiple dedicated tasks. Organize and be detail oriented plus the ability to provide cross-functional analysis; proven experience to provide process improvement recommendations and facilitate implementation throughout organization.
• Commonly has good time management skills. + demonstrated ability to: execute tasks with minimal guidance / direction, operate independently and professionally on behalf of the PM, execute deliverables on short notice, maintain routine DoD compliance training requirements.
• Demonstrates excellent written and verbal communication skills. + on behalf of the PM (i.e. ghostwriter, editor, proofreader / reviewer, etc).
• Ability to adjust to evolving project requirements IAW IPT, Command, and DoD-level business rules, guidance, and directives.
• Demonstrated desire to learn, retain, and articulate working knowledge of program/project overview, capabilities, DoD/USN acronyms, and all functional areas (program management, contracts, financials, configuration management, cybersecurity, logistics, engineering/technical team) as well as understand relationships and communication between internal and external partners, sponsors, contractors, etc.
• Occasional CONUS (and possible OCONUS) travel required to support client at various on-site conferences, site visits, training program needs, with the ability to acquire passport, international driver’s license etc, if needed.
