Position Title: Record Technician, Position Number: 64033403
Your Specific Responsibilities:
The incumbent is part of a global public health organization and is expected to support the Florida Department of Health in Clay County in its mission to protect, promote and improve the health of all people in Florida through integrated state, county and community efforts and its vision to be the Healthiest State in the Nation. Furthermore, the incumbent is expected to incorporate the agency values of Innovation, Collaboration, Accountability, Responsiveness and Excellence in all aspects of their work.
Issue certified copies of Birth, Death, and Fetal Death certificates to authorized applicants. Interpret and administer applicable rules, regulations, policies, statutes, and procedures regarding Vital Statistics.
Maintain escrow accounts and collect fees for certified copies of certificates. Maintain bookkeeping system, reconcile accounts, and deposit monies. Communicate and coordinate with County hospitals regarding completion of the electronic for birth certificates and timely processing.
Maintain rapport with funeral directors concerning proper procedures in filing death certificates.
Supply funeral directors and hospitals with required certificates and other forms (birth, death, fetal death, applications for amendments, legitimations, etc.) Maintain accountability and security of Vital Statistics Security Paper.
Provide technical assistance to funeral directors, and medical records personnel as the need arises. Receive and review birth, death, and fetal death certificates for completeness and accuracy.
Greet clients, receive incoming calls, routing them to appropriate staff or department. Provides resource and referral information to clients as instructed. Post payments received from clients. Schedule appointments for medical clinic which includes, but is not limited to:
• Verify insurance prior to making client appointments
• Confirm appointments for ADAP and Specialist physician
• Verify SSA eligibility is current and correct before scheduling appointments
• Correction of schedule: Overbooks, additions, cancellations, modification of schedule during office closure due to meetings, vacations etc.
Type complex material (i.e. memo’s, letters, reports, etc.) from rough drafts; verify for accuracy of spelling, grammar, punctuation, etc.
Provide training and monitoring to local tax collector satellite offices that provide Birth Certificate services and quarterly site visits. These duties will require for incumbent to travel using county vehicle.
Provide training to new Deputy Registrar to include E-Vitals and VitalChek systems. Attend meetings and/or seminars deemed necessary by State Vital Statistics, and which are appropriate for DOH-Clay.
Responsible for securing the designated information sets and protecting confidentiality, data integrity, and appropriate access, for all information, both confidential and public record, which is stored in hard copy or electronic format. The release of vital statistic information, including but not limited to, birth, death, marriage, dissolution or marriage, and name change is confidential pursuant to Chapter 382, Florida Statute.
Performs all the other duties as required.
Required Knowledge, Skills, and Abilities:
Knowledge of and experience with Microsoft Office (Outlook, Word, Excel, Teams)
Knowledge of office procedures and practices including use of telephone, computer, copier, fax, scanner, and shredder.
