Estate Manager - Bay Area Family Office

A Bay Area Family Office is seeking a highly motivated and Experienced Estate Manager. In this dynamic position, you will play a pivotal role in ensuring the smooth operation of the Principals' estate. This position will be in person in Palo Alto, CA five days per week and report to the COO.

Estate Manager Job Description:

The Estate Manager oversees the management of the estate, ensuring that properties are maintained and managed smoothly and efficiently. The Estate Manager works closely with the Principals and the family office to ensure that the property is run in accordance with their wishes. The Estate Manager manages the team on the property, including child care, personal household assistants (PHAs), facilities/maintenance, horticulture, and culinary. The Estate Manager also collaborates with the security and domestic/international travel teams.

This candidate will also bring a proactive mindset, capable of fostering collaboration while maintaining a calm, efficient environment. With a minimum of a Bachelor's degree in hospitality management or a related field, and demonstrated experience as an Estate Manager or in a leadership role within a private home, they will be well-equipped to elevate the estate's operations and lead with confidence. Estate Manager Duties and Responsibilities:
• Oversee the management and maintenance of the estate.
• Manage the budget for estate maintenance and make recommendations for improvements.
• Supervise an existing team of approximately fifteen people, including housekeepers, personal household assistants, childcare, horticulture, culinary, and facilities/maintenance.
• Ensure that the estate is secure and that all security protocols are in place and followed in conjunction with the security team.
• Coordinate with contractors, vendors, and service providers for work on the estate.
• Manage the inventory of equipment and supplies needed for estate maintenance.
• Manage and catalog artwork inventory.
• Work closely with the real estate development and facilities teams to implement plans for landscaping and beautification of the estate.
• Coordinate with all team members to ensure that the estate runs smoothly and efficiently, including scheduling and travel-related activities for the Principals.
• Communicate regularly with the Principals and the family office to keep them informed of estate operations and any issues that arise.
Estate Manager Requirements and Qualifications:
• Minimum of a Bachelor's degree in Hospitality or similar field.
• Proven experience as an Estate Manager or similar role.
• Yacht-like attention to detail. Yacht experience is a strong preference!
• Experience working in a family office environment.
• Excellent oral and written communication and interpersonal skills.
• Ability to manage and prioritize multiple projects and tasks.
• Strong problem-solving and decision-making skills.
• Self-starter and ability to work independently.
• Strong organizational skills.
• Knowledge of residential real estate.
• Experience in managing budgets and expense control.
• Experience or interest in art, architectural design, interior design, and real estate development.
• Comfortable using technology/software to record and monitor tasks and deliverables.
