Job Summary Under the general direction of the Data Quality Specialist, the incumbent is responsible for managing the report generation and data verification of constituent records in Development and Alumni Engagement (DAE) s Customer Relationship Manager database (CRM) and the ongoing maintenance of constituent related information (contact data, bio data, communication preferences, employment data, education data, external award information, student involvements and other helpful supporting documentation). The incumbent is responsible for maintaining and improving the accuracy of contact data, personal and business information, educational information and other constituent related highly confidential data housed in DAE s CRM, by running data quality audits and queries, performing batch constituent data updates, coordinating the lost alumni/donor tracing program and providing training and support to the Records team and those CRM users with constituent editing rights. Organizational Status Reports to the Data Quality Specialist. Work Performed - Supervises the Records staff and students and validates their work through regular audits and spot checks - Provides advice, training, expertise to Records Staff, work-learn students and other CRM users for entering and maintaining biographical data - Prepares and executes batch database updates for contact information, communication and solicitation preferences, employment relationships, and others as required - Cleanses constituent data imported from DAE online contact and donation forms, newsletter systems, Student Information System, Call Center and loads it into the CRM - Performs regular data audits to ensure compliance with data quality rules, processes, and policies for DAE CRM s 550k constituent records - Makes recommendations for data quality control improvements and maintenance - Validates the results of constituent batch updates - Monitors the constituent data update requests to the Records team and ensures these are resolved in a timely manner - Coordinates constituent data cleansing projects with external services, such as the National Change of Address service - Creates business glossary terms related to the constituent data set - Runs queries for data quality auditing purposes to monitor data integrity, database changes, contact data accuracy, and interrelationships of data Assists with the design and development of the queries. - Develops and maintains documentation and training materials for recording and maintaining constituent data within DAE s CRM as well as tracing lost alumni and donors - Produces statistical reports for contact data completeness, Records constituent data maintenance and improvement efforts - Monitors and communicates the progress and status of constituent tracing efforts - Tests data quality processes /audits/reports and new CRM features and upgrades as they relate to constituent forms, views and data - Follows up with stakeholders and constituents when needed - Performs other duties as required Consequence of Error/Judgement Errors in data accuracy, omissions, judgement, tact or communication could result in a significant loss of productivity and jeopardize results of fundraising and alumni engagement efforts.
