Busy Millwright contractor seeking a highly organized and detail-oriented Account Administrator to oversee all aspects of invoicing, timesheets, purchasing, and administrative support essential for the seamless operation of our largest job site. This role will be primarily based out of our head office in Guelph with 1-2 days per week spent at our Milton site.
Duties And Responsibilities
• Collect and enter daily time records
• Serve as the gatekeeper for site purchases, including POs and credit cards transactions
• Ensure adequate information and approvals are obtained for purchases
• Create and issue POs and WOs, ensuring proper tagging at time of purchase
• Ensure prompt, weekly invoicing by holding the Project Manager accountable, and gathering hours, expenses, timesheets and corresponding POs
• Manage the Project Manager’s calendar and digital task list
• Monitor and respond to the Project Manager’s emails
• Draft and send quotes based on the Project Manager’s instructions
• Pending volume, may assist with entering expenses into QuickBooks and updating the PO tracking sheet
Skills and Qualifications
• Highly organized with an eye for detail
• Master of time management and meeting deadlines
• Driven go-getter with a passion for overcoming challenges and delivering results
• Comfortable utilizing various applications (i.e. Excel, Word, Outlook)
• Previous experience in an administrative support role preferred but not required
