EA to Founder of independent B2B Marketing & Communications Agency

Our client is looking for a bright and capable person to take on the newly created role of Executive Assistant to their Founder. The EA will play an integral role within the team, providing a high level of administrative support in both a business and private capacity. This person will be an extension of the Founder, following up and chasing up actions from Senior Leadership Team (SLT) on their behalf.

The EA will also be required to support the coordination of events and parties both for the team, and for any client entertainment they might do. This role will suit someone who enjoys a varied and hands-on role, willing to get stuck in with whatever they are tasked with. A positive and proactive nature will be key, as well as the ability to juggle many tasks at once and being highly efficient.

EA to the Founder
• Working with the Founder to manage day to day operational activities
• Full inbox and diary management for the Founder including travel arrangements
• Arrange internal and external meeting bookings, liaising with clients
• Draft, review and send communications on behalf of the Founder
• Organise and prepare for meetings, including gathering documents, creating the agenda and minutes
• Booking meetings rooms/catering, organising regular calls/videoconferencing and ensuring technology is tested and works.
• Prioritise workload & undertake projects for the Founder
• Social event and welfare lead for our fantastic team events
• Coordinating events for clients and sitting at the heart of the project plans
• Financial administration including reconciling credit card receipts and statements, and process expenses.
• Professionalism and strict confidentiality in all matters

Office / Operations
• Point of contact for the day-to-day operations for our office space including inventory management, facilities coordination.
• Manage office supplies and equipment maintenance
• IT – supporting all employees by partnering with our outsourced IT function on day-to-day matters
• Support and onboarding and offboarding processes for employees.
• Organise couriers, taxis and mailing/shipping items as required by the team.
• Coordinate the setup of food orders and deliveries, staff lunches, bookings for client lunches if required, event planning and booking offsite spaces.

Experience
• Time management skills, with the ability to multitask and prioritise effectively.
• Attention to detail and problem-solving skills.
• Written and verbal communication skills and the ability to manage different personalities and styles
• Reliable, and capable of building strong relationships with individuals at all levels.
• Organisational and planning abilities.
• To work well under pressure and meet deadlines.
• Unflappable under pressure
