Administrative Assistant - Systems Biology

MD Anderson

Systems Biology is an interdisciplinary department that is pushing the boundaries of cancer research by integrating technology development, bioengineering, data science, and systems biology. We leverage our massive clinical resources and unmatched access to patient tissue samples to study some of the biggest questions in the cancer field, on topics that include premalignant progression, metastatic dissemination, and therapeutic resistance. Our faculty members represent top-notch scientists working in a wide range of areas of cancer research and commonly use multi-omic approaches to understand the interaction of genotypes and phenotypes at single cell and spatial resolution.

Systems Biology

KEY FUNCTIONS

Faculty Support
• Provides administrative support to assigned departmental faculty.
• Arranges appointments, coordinates travel, and prepares reimbursement requests.
• Arranges seminars for assigned faculty to include scheduling of rooms, catering, preparing meeting agendas and setup of zoom meetings.
• Maintains current information for assigned faculty - curriculum vitae and periodic journal publications.
• Maintains data in FileMaker Pro for assigned faculty and departmental expenses.

Human Resources Support
• Serve as a backup timekeeper for department.
• Enter time off requests for assigned faculty and staff in WebSchedule.
• Serve as the new employee contact.
• Welcoming new employees, sending out department information and updating email lists for all new employees.
• Upkeep of employee department contact information.
• Tracking of employee mandatory trainings to ensure department and staff are in compliance.
• Requests badge access for employees and contingent workers needing access to department.

Departmental Support
• Arrange conferences and events for the department.
• Including booking rooms and/or setting up Zoom, catering requests and av equipment.
• Process requests for internal and/or external courier services, pickup and delivery of interoffice and metered mail.
• Responsible for the upkeep of the main bulletin board.
• Check weekly to make sure publications and announcements are within set time frame.
• Process requests via PO and/or ProCard for PRS orders, office supplies, and/or catering.
• Backup to the Sr. AA and EA as needed to cover for vacation/leave requests.
• Ensures timely completion of assignments and tasks.
• Other duties as assigned.

Education

Required: High school diploma or equivalent.

Preferred: Bachelor's degree.

Experience

Required: Four years of administrative/secretarial experience. With preferred degree, no experience required.

Other

Required: Must pass pre-employment skills test as required and administered by Human Resources.
