Lead Administrator, Asset Management

Oversees all aspects of Asset Management, including warehouse operations, on behalf of FINRA. Manages receipt of goods and distribution of end-user assets, and provides customer service, working closely with Desktop Support on the initiation, maintenance, and retirement of employee equipment. Ensures and maintains policies and procedures related to FINRA assets and related procurement operations. Essential Job Functions: Oversee all aspects of Asset Management, working with the team responsible for the receipt and distribution of FINRA business assets and equipment – primarily laptops, desktops, and peripherals. Maintain accurate records for location and status of all assets, to include primary oversight of asset records in financial and tracking systems; and inventory of new, in-use, and idle equipment, ensuring that items are secured and accurately tracked. Oversee all stages of equipment lifecycle from receiving through setup, deployment, recovery and replacement, and retirement; frequently working under tight time constraints while protecting integrity of the process. Work closely with the Desktop Support team on the imaging, records reviews, and other servicing of equipment. Perform billing reviews and manage/track warranties for assets. Manage cyclical equipment refresh projects in partnership with Technology and Desktop Support. Partner with the Tax department on preparation of business personal property tax returns regarding capital and noncapital asset locations. Remain up to date on all records procedures, in order to ensure compliance with established business processes. Additionally, maintain and ensure compliance with FINRA’s asset management policies and procedures. Provide recommendations for process improvement, innovation, and efficiency gains to Finance leadership regarding issues and processes. Serve as liaison with equipment suppliers and participate in pricing and requisition initiatives related to FINRA assets, and work with suppliers to solve asset-related issues. Education/Experience Requirements: Bachelor’s degree or equivalent combination of education and relevant experience. Minimum of 6 years’ experience in procurement and supplier management and overseeing equipment needs for a large user population. Project planning and execution experience for large deployments of equipment. Experience with management of warranties for large volume of computing equipment. Process-oriented with experience maintaining and enforcing compliance procedures. Experience with customer service processes and the ability to provide timely issue resolution in coordination with multiple stakeholders. Innovation-minded and ability to propose, design, and execute process improvement initiatives. Workday and Dynamics experience preferred. Work Conditions: Onsite work required for most duties. Work may be performed in a hybrid environment, both remote and in-office, as required. Extended hours and travel may be required on occasion. In addition to location, actual compensation is based on various factors, including but not limited to, the candidate’s skill set, level of experience, education, and internal peer compensation comparisons.
