Research Administrative Coordinator, Schulich School of Engineering

The SSE Research Office within the Schulich School of Engineering is currently seeking a Full-time Limited Term Research Administrative Coordinator for approximately 24 months.

This position will report to the Manager, Research and Inclusion, and is located at the University's main campus. The Research Administrative Coordinator is responsible for providing administrative coordination to academics and staff on diverse research funding opportunities; administering the delivery of programs services and events, and providing data management support for the Research and Innovation team. Some evening and weekend hours may be required during peak periods. The ability to be on campus is required.

Summary of Key Responsibilities (job functions include but are not limited to):

Research Coordination and Administration
• Coordination and organization of the Schulich Research Inbox.
• Responsible for research application tracking, coordinating the approval process for diverse research agreements and funding applications, and ensure compliance of faculty and funding agency requirements;
• Provide timely support to researchers on matters related to: faculty, university and funding agency timelines, application approval process of the faculty, and post-award administering issues.
• Coordinate administration of multiple funding cycles; special initiatives, and operational procedures.
• Maintain relevant documents and resources for effective and efficient delivery of all initiatives and projects.
• Coordinate and execute all logistics for research meetings or events such as, research workshops, funding information sessions, and funding agency site visits.
• Develop project timelines, monitor deadlines and closeout in collaboration with the Senior Research Advisor and implement changes for continuous improvement of processes.
• Work closely with the Research Specialists in dissemination of research information.
• Provide the Associate Dean (Research) with administrative support on compliance requirements for research and operating funding accounts.
• Responsible for completing accurate financial reconciliation tasks including: reviewing and verifying expenses and accounts payable; identifying and correcting discrepancies; and tracking, verifying and reconciling revenue and expenses.
• Organization and maintenance of Research files and SharePoint.

Data and Records Compilation
• Keep records of research applications and funding success to support on-going information requirements of the faculty;
• Work closely with the Research Specialists in extracting and compiling data including, research funding statistics, research performance measures, and other relevant information as required by the faculty and other partners.

International and Other Duties
• Provide faculty coordination support for various international funding opportunities in collaboration with the University of Calgary International team.
• Provides meeting administrative support for various committees of the faculty including: Research Committee, Schulich Momentum Directors, and other related events as required;

Qualifications / Requirements:
• Post-secondary university education in Business, Science, Engineering or a related field.
• 2-3 years experience in coordinating and administrating operations and projects is required; or an equivalent combination of education and experience may be considered if relevant.
• Proven organizational skills with an ability to set priorities and complete multiple tasks within specified timelines to meet deadlines, as demonstrated by 2 years experience.
• Strong analytical skills with 2 years experience with data extraction and compilation, and ability to solve problems related to data management.
• Knowledge and understanding of University plans and policies, as well as structure, governance and decision-making processes is an asset.
• Knowledge of the research funding landscape is required.
• Excellent oral and written communication skills are required.
• Demonstrated ability to take initiative and work independently and also in a team environment with multiple partners.
• Strong attention to detail is required.
• Excellent computer skills in Microsoft Office are required; skills in PeopleSoft, Adobe, and SharePoint are required.
• Experience with financial and budget administration tasks is an asset.
• Open to learning and develop and willingness to new challenges and assignments.
